Two days of informative panels, case studies and interactive discussion provided attendees with a comprehensive perspective of data and document processing – from mail extraction to imaging to final archiving. All events helped attendees learn how to get an immediate return on technology investment; network with users; get ideas, strategies and techniques from expert presentations; and see the latest complementary products and services from solution providers.

The unique, “how-to” program was designed for management and operations professionals responsible for data capture, document management, imaging, fulfillment, claims processing, order processing, service bureau management, and forms processing.

8:00 – 8:30 am Registration

8:30 – 9:45 am

Keynote Address: “The Future of Information Capture”

Craig Le Clair , Senior Analyst, Forrester Research, Inc.

Information capture — document scanning, quality assurance, and indexing — has gained significant traction within enterprises as advances in optical character recognition/intelligent character recognition (OCR/ICR) technology make it easier to index documents and convert scanned images into full text. As a result, many view document capture as a mature, stagnant technology market. Nothing could be farther from the truth. This session explored the emergence of content-centric applications, the increased complexity of document types, the need to simplify compliance processes, and the need to more intelligently extract information from captured documents present organizations with more decision criteria for document capture solutions. In making capture technology decisions, organizations should seek to enable content-centric applications and look for solutions that are either native to, or tightly integrated with, existing enterprise content management (ECM) systems.

9:45 – 10:00 am Break

10:00 – 11:00 am

Best Practices in Forms Processing and Data Capture:
Analysis of Survey Results

John Mancini, AIIM & Harvey Spencer, Harvey Spencer Associates

Forms processing software innovation has become the driving force behind document capture and, in the process, it is spreading way beyond the traditional forms processing applications. This session reviewed responses received from imaging and capture operations managers to recent surveys conducted by AIIM and TAWPI. This significant research provides a comprehensive assessment of forms processing, data capture and document capture systems, operations and trends. The results helped organizations understand emerging capture issues and identify ‘best practices’ to help industry practitioners prioritize improvement efforts for their own operations.

11:00 – 11:15 am Break

11:15 – 12:15 pm

Compliance and eDiscovery

Robert Blatt, Principal Consultant, Electronic Image Designers, Inc. (EID)

Audit and discovery is the key component of every compliance effort and
the grunt work is in locating and retrieving the supporting evidence and documentation to verify compliance. Auditing organizational information to ensure successful e-discovery lies with evaluating the organizational content management structure and identifying potential issues and challenges prior
to litigation and/or E-discovery requests, not after litigation begins. This session provided in-depth information for organizations who desire to audit/evaluate their current content management systems and identify potential issues/problems with current data archiving. Commonly seen
E-discovery issues and activities were discussed along with information associated with archiving procedures and practices to be evaluated.

12:15 – 1:30 pm Lunch in Exhibit Area

1:30 – 2:30 pm Concurrent Sessions

Next Generation Imaging Beats Data Entry

Artur Vassylyev, Director of Professional Services, ABBYY

Jay Johnson, Director of IT, Trendset

Document imaging has long been the only choice for gaining at least some efficiency when paperwork can’t be eliminated, yet many think of it as a mature technology that offers only incremental improvements. Having cut two days and considerable labor out of its imaging-based processes, the example of Trendset Inc. is typical of the productivity gains companies are realizing with the latest generation of capture software. Attendees heard how they saved thousands of dollars and increased efficiency using an Intelligent Document Recognition (IDR) system to classify and extract data from variable documents.

Process Improvement through AP Automation

Gary Phillips, Cash and ROIC Analysis, Lockheed Martin

Robert Fresneda, President, ReadSoft North America

This session explored how automated invoice processing allows organizations to overcome the bottleneck of getting information from invoices into a target business system or enterprise resource planning (ERP) system. This allows companies to lower costs, speed up invoice processing and obtain better control of incoming invoices. Mr. Fresneda explained how capture software extracts information from the invoice, understands and interprets it, manages and tracks that invoice through your organization, integrates the invoice information with any business system, and interchanges that information electronically.

2:30 – 2:45 pm Refreshment Break in the Exhibit Area

2:45 – 3:45 pm Concurrent Sessions

Image to Archive: Managing the Complete Document Lifecycle

Bryan Gard, Product Marketing Manager, EMC Captiva

Mike Desch, Director of Corporate Services

All documents from the simplest receipt to the lengthiest insurance claim
form need to be processed, made available for easy access and retained
for any period of time. Advancements in capture and content management technologies make it possible to capture and manage all documents in an enterprise, from structured to semi-structured and unstructured documents. This session described how companies can deploy a unified document image archiving platform that enables efficient, accurate capture of documents and images while simultaneously employing a holistic set of retention, storage and security policies and access tools.

Choosing the Right Front-End Capture Solution for your Operation

Stacey Zengel, General Manager, Imaging Solutions, Jack Henry & Assoc.

Dee Raber, Eastern Financial Florida Credit Union

When considering front-end capture solutions, flexibility is key. This session explored the various front-end document imaging capture options and the factors that should be considered before selecting the solution for your business. Attendees heard about the solution in place at Eastern Financial Florida Credit Union and the real-world analysis, decision-making and implementation process that was experienced.

risks and benefits of continuing to process in-house; what’s the right scope of outsourcing – how comprehensive of a solution do you need; partner selection and the attributes to look for; implementing the outsourcing relationship – what to avoid, what to adopt, what happens to your staff and equipment; and managing the outsourcing relationship.

Data Capture Challenges and Opportunities in the Healthcare Industry

Jay Foster, SVP and Chief Information Officer, WorkingRx, Inc.

Shiek Shah, Chief Technology Officer, Azima Health Services

Gary Provo, Executive Vice President, eGistics, Inc.

Moderator: Mark Brousseau, Brousseau & Associates

The next generation of image and data capture, management and archival tools for healthcare billers is on the table. This interactive panel session detailed the business case for these advanced solutions across two distinct and critical healthcare segments. WorkingRx, the leader in workers compensation claims management, showed how it is deploying these technologies to support claims reconciliation and EOB processing – reducing Day’s Sales Outstanding, improving productivity and enhancing customer service. Azima Health Services, a leader in revenue cycle automation, revealed how it is providing hospitals and hospital-based physician practices with Internet-based document imaging and workflow management to achieve operations efficiencies and improve patient care. And eGistics, the leader in on-demand image and data archival, management and delivery, detailed how the hosted archival model allows healthcare billers to be software, hardware and source (location)-agnostic – connecting, for the first time, all parties in the claim-to-cash process (hospitals, physicians, third-party providers, etc.), regardless of geographic location, payment type, data format, or capture system.

Closing Session: “Forces Driving Shifts in Imaging Strategy:
Distributed Capture”

Michael Maziarka, Director, InfoTrends, Inc.

This presentation examined the impact of distributed capture on the workplace environment and also looked at the impact of centralized capture as well. This presentation highlighted a couple of case studies that illustrated the advantages of adopting a scanning and capture infrastructure in your organization. While the benefits of capture are compelling, it still requires proactive implementation and management.
