Information capture — document scanning, quality assurance, and indexing — has gained significant traction within enterprises as advances in optical character recognition/intelligent character recognition (OCR/ICR) technology make it easier to index documents and convert scanned images into full text. As a result, many view document capture as a mature, stagnant technology market. Nothing could be farther from the truth. This session explored the emergence of content-centric applications, the increased complexity of document types, the need to simplify compliance processes, and the need to more intelligently extract information from captured documents present organizations with more decision criteria for document capture solutions. In making capture technology decisions, organizations should seek to enable content-centric applications and look for solutions that are either native to, or tightly integrated with, existing enterprise content management (ECM) systems.

Forms processing software innovation has become the driving force behind document capture and, in the process, it is spreading way beyond the traditional forms processing applications. This session reviewed responses received from imaging and capture operations managers to recent surveys conducted by AIIM and TAWPI. This significant research provides a comprehensive assessment of forms processing, data capture and document capture systems, operations and trends. The results helped organizations understand emerging capture issues and identify ‘best practices’ to help industry practitioners prioritize improvement efforts for their own operations.

Document imaging has long been the only choice for gaining at least some efficiency when paperwork can't be eliminated, yet many think of it as a mature technology that offers only incremental improvements. Having cut two days and considerable labor out of its imaging-based processes, the example of Trendset Inc. is typical of the productivity gains companies are realizing with the latest generation of capture software. Attendees heard how they saved thousands of dollars and increased efficiency using an Intelligent Document Recognition (IDR) system to classify and extract data from variable documents.

Mr. Fresneda explained how capture software extracts information from the invoice, understands and interprets it, manages and tracks that invoice through your organization, integrates the invoice information with any business system, and interchanges that information electronically.

This presentation examined the impact of distributed capture on the workplace environment and also looked at the impact of centralized capture as well. This presentation highlighted a couple of case studies that illustrated the advantages of adopting a scanning and capture infrastructure in your organization. While the benefits of capture are compelling, it still requires proactive implementation and management.
